SharePoint   Business Analyst to   support the long-term success and sustainability of the Microsoft SharePoint   Records Management implementation for the Public Works Department. This   project leverages the capabilities of SharePoint to improve efficiency,   maintain compliance, and mitigate risks related to departmental   data/information sharing and management.

The   SharePoint Business Analyst will work collaboratively with the   Workflow and Records Management Project Team to undertake activities that   will foster awareness and understanding, integrate best practices, and   increase departmental knowledge retention related to SharePoint use within   the Public Works Department. The three key areas of support include:

•                       Training and Communication

•                       Documentation and Governance

Reporting   to the Records and Information Management Coordinator within the   Public Works Director’s Office, the SharePoint Business Analyst will   be responsible for:

•                       Provide expertise, system support and training to end-users and SharePoint   Agents (i.e. Power users). Specifically: Develop and provide regular virtual   project updates and opportunities for end-users and SharePoint Agents to ask   questions and receive hands-on training opportunities. This includes the   development of a Community of SharePoint Agents and hosting bi-weekly   meetings.

•                       Create and share documentation such as ‘How-Tos’, ‘minute’ videos, FAQ pages,   handbooks and/or quick reference guides for SharePoint Agents and end-users

This job is an integral part of the pillar. Working within FOIP legislation, and in accordance with the operational and strategic plans of FOIP Operational Services, this role is responsible for performing activities associated with the functions of the FOIP Unit to assist in ensuring effective and efficient processing of requests within legislative time-lines, and other daily office administration duties.

General, Personal, Privacy, and Correction requests submitted under the Freedom of Information and Protection of Privacy (FOIP) Act to the Government of Alberta and supported Agencies, Boards, and Commissions, are coordinated to ensure activities are timely, accurate, and complete in order to streamline consistent and efficient processes for FOIP Operations by:
- Monitoring all requests received via hard copy and the FOIP System Public Portal.
- Preparing draft correspondence, including acknowledgement letters, requests for additional details, requests with no fee payment, and notification of closure or routine disclosure available for applicants.
- Ensuring and reviewing all correspondence and request information to ensure it is accurate and complete, including application fee payment and attachment enclosures, prior to forwarding to FOIP Operations or to the general public.
- Working with FOIP Coordinator, assigning requests to appropriate FOIP Advisor as per direction from the FOIP Coordinator.

Information access requests received by FOIP Operations are provided the necessary administrative support to facilitate processing of request within legislated time-lines by:

Resource must provide their own computer and related equipment. The computer's operating system must be a modern version of Windows or MacOS that is compatible with Azure Virtual Desktop (AVD) and related software for remote access. Windows is preferred due to better compatibility. AVD/remote-related software will be installed on the resource's computer.

In the event that the Contractor’s resources are directed to work remotely, the Contractor shall be responsible for providing all of its equipment, including computers, software, printers, supplies, desks and chairs. However, the Province shall ensure that the Contractor’s resources have the necessary access and credentials to the Government of Alberta’s system.

Working Hours:
• Standard Hours of work are 08:15 – 16:30 Alberta time, Monday through Friday excluding holidays observed by the Province
